Extend placements

When a temporary worker needs to stay on longer than originally planned, you have two options for extending their placement. Here’s how to choose the right method and complete the process:

  • Use Option 1 for short-term extensions to keep records simple and for additional shifts within the original placement.

  • Use Option 2 for long-term extensions to maintain clear booking history and where a change has been applied to the original placement information.

  • Use Option 3 if you want a new placement, but don't want an extension link.


Option 1: Extend an Existing Placement Record

Use this option when:

  • The extension is short-term (a few days or weeks).

  • You want to keep the same placement record.

Steps:

  1. Set Your Extension Rules

    • Go to Settings in the Scheduling 2.0 screen.

    • Enter the number of days that determines when a new placement record should be created.
      Example: If you set 14 days, any extension within 14 days of the last shift will update the existing record.

    • Click Done to save.

  2. Add Extra Shifts

    • In Scheduling 2.0, display the job where the temp is placed.

    • Click the three-dot icon β ‡ in the job details box and select Add Shifts.

    • Enter the new start and end dates, add shifts, and click Save.

  3. Assign the Worker

    • Drag and drop the temp onto the new shifts or use Multi-fill for multiple workers.

    • The existing placement record will update with the new end date and shifts.


Option 2: Create a New Placement Record

Use this option when:

  • The extension is long-term (months).

  • You want a separate record for the new booking.

Important: when you use this Placement Extension process (option2), the system creates a copy of the original placement. Users must then edit the new placement with any required changes such as rates or contacts.

Steps:

  1. Go to Placements/Contract Placements.

  2. Select the placement(s) to extend, click Action, then Extend Placement(s).

  3. In the Extend Placement screen:

    • Adjust the start and end dates.

    • Edit shift patterns if needed.

    • Optionally, select a reason for the extension.

  4. If extending multiple placements, copy details down using the arrow icons.

  5. Click Confirm Extension(s).

  6. (Optional) Add tasks for follow-up actions.

  7. Click Save. A new placement record will appear with updated dates and shifts.



​Option 3: New placement without extension link

  1. Go to Placements/Contract Placements.

  2. Select the placement(s) to extend, click Action, then Extend Placement(s).

  3. In the Extend Placement screen:

    • Adjust the start and end dates.

    • Edit shift patterns if needed.

    • Set number of days to 0.

  4. Click Confirm Extension(s).

  5. Click Save. A new placement record will appear for the same applicant for the new period.
