What's new?
We continue to use ongoing feedback from our large customer base on the useability and functionality of Scheduling 2.0, and in line with Access's strategic roadmap, to add enhancements to this latest release.
How do I start using it?
Enable Scheduling 2.0
The Scheduling 2.0 feature toggle can be enabled by a user with administration access to Options ; System Settings ; Feature Toggles.
Enhanced Features
Search for Applicants by Status
A new placeholder of Status has been added to the applicant search bar in the lower pane of Scheduling 2.0.
An applicant's status value e.g. Live can be entered as search criteria, where all applicants matching the status will be listed in the pane.
Entering (e.g.) Live as a status will offer the status as a pickable item for searching.
Search Jobs by Project Name
If the feature toggle Projects is enabled under Options ; System Settings ; Feature Toggles, then a new placeholder of Project has been added to the jobs search bar in the upper pane of Scheduling 2.0.
If jobs are linked to a project, the name of the project can be entered as search criteria, where all jobs attached to the project will be listed in the pane.
Entering (e.g.) M3 Jun as a project name will offer those projects which partially match the search criteria as a pickable items for searching.
Last Confirmed or Reserved Shift End Date during Applicant Removal
When removing applicants from shifts, the Shift End Date is now displayed as the date of the last confirmed or reserved shift on the job. Previously, this was automatically set to six months after the Shift Start Date.
There is no change in functionality to this screen.
Adjust Shift Requirements
A new screen was introduced in the last release which quickly allows the mass update of the persons requirement against job shifts. This removes the need to adjust each shift individually for the number of applicants required to fulfil the shift.
The new option Adjust Shift Requirements can be accessed from a job's 3-dot menu. Clicking this option will list all shifts for the selected job, sorted by earliest date first.
New Job and Shift Details fields
There is a new field of Job at the top of the modal:
To the right is a view only field which shows the Job Title for the selected job.
In the shifts grid, there are three new (view only) columns:
Shift
Start Time (filtering on this column is not available)
End Time (filtering on this column is not available)
Where the Shift (name/description) exceeds the column width, then ellipses will be added to the end of the name. On hover over, the full shift name will be shown.
Note, all columns are resizable, so the ellipses will appear at different column widths
List Shifts Based on the Filter Selected
When clicking into the Shift dropdown and selecting a shift type with a rate, the shifts listed in the grid are filtered based on the shift selection.
When clicking into the 'Shift' dropdown and selecting a 'shift type without a rate', the shifts listed in the grid are filtered based on the shift selection.
Job Shifts Grouping
The shifts displayed in Scheduling 2.0 are now grouped based on the Shift Type;, Start DateStart TimeEnd DateEnd Time and now also on the Base Rate or Shift Rate
The new grouping level will provide an increased granular view of shifts based on the fields stated earlier. This in turn improved identification of the required shifts when reserving or confirming applicants, adjusting requirements and when removing applicants from shifts. Furthermore, the clear identification of shifts ensures that applicants are paid correctly for the shifts covered by them.
When applicants are confirmed or reserved into job shifts, the correct shift(s) and the attached shift rate (where appropriate) will be automatically and correctly attached to the placement for each shift.
The following navigational areas within Access Recruitment CRM will correctly and automatically attach the shift rate when applicants placements are confirmed or reserved:

Multi-Fill Shift Rate Visibility
To aid the identification of shifts correctly when multi-filling shifts, the Multi-Fill modal has been enhanced to include the Shift Rate per shifts as a new column.
This results in shifts of the same shift type, start and end dates and times are split further based on the attached shift rate, thus providing that extra granularity.
If there is more than one row for the combination of Shift Type, Start Date, Start Time, End Date, End Time with a different shift rate'
Then only one row for the combination can be selected.
If a row for a combination is selected:
The tick-box of other rows of the same combination are disabled
A message will be shown in red, beneath the data grid of Only one row of a Shift and Shift Rate combination can be selected for the same Start and End Times
If the Select All is unchecked
All selected rows are unselected
When the placement(s) is created, every selected shift row and the attached shift rate or base rate will be applied (existing behaviour)
For reserved applicants, the reserved shifts are created as diary events in the applicants' schedule with the shift/base rate attached
Enhanced Applicant Compliance Checks
Applicants often become non-compliant during their placement, but at the point of placing they are compliant.
New checks, controlled by a new feature toggle of Prevent placement if Compliance expires during Placement/Shift(s) have been introduced to control this scenario.
If the new feature toggle is disabled:
The current checks for compliance will continue with no changes to the flow of placing applicants to shifts.
Consultants with permission of Permission to place non-compliant applicants assigned to their login will be allowed to place all applicants as they do now.
Consultants without permission of Permission to place non-compliant applicants assigned to their login will continue to be allowed to place applicants who become non-compliant during their placement but prevented if the applicant is already non-compliant.
If the new feature toggle is enabled:
Additional compliance checks will be applied to determine if an applicant will become non-compliant during their placement duration.
Consultants with permission of Permission to place non-compliant applicants assigned to their login will:
Be allowed to place applicants as they do now with no changes.
Consultants without permission of Permission to place non-compliant applicants assigned to their login will:
Continue to be prevented from placing already non-compliant applicants.
Will be warned if an applicant will become non-compliant during their placement and will be prevented from making the placement until the compliance issues have been resolved.
