Scheduling 2.0 - Release Notes - FY25 Q2

What's new?

We continue to use ongoing feedback from our large customer base on the useability and functionality of Scheduling 2.0, and in line with Access's strategic roadmap, to add enhancements to this latest release.


How do I start using it?

Enabling Scheduling 2.0

The Scheduling 2.0 feature toggle can be enabled by a user with administration access to Options ; System Settings ; Feature Toggles.

Enhanced Features

Reserved Event Details

  • When an applicant is reserved to a shift, the event that is created in the bottom applicant diary panel will have the same text details as if the applicant were confirmed to the shift. This provides the same and additional information as the confirmed event to ease the visibility of applicant events.

Hover Over Shows Location Details for Applicant Diary Events

  • When an applicant is reserved or confirmed to shift(s), hovering over the corresponding diary event in the bottom applicant pane will revel the location of the job.

Diary Event Colours to Reflect Applicant Schedule

  • All diary events are displayed with the colour code as set against the applicant's schedule/diary entry, in the same way as shown in the Availability Manager.

Copy Job Option

  • A new Copy Job option has been introduced to the 3-dot menu against jobs. Users who do not have the restriction Job Create/Edit/Copy against their role, will see this option enabled, otherwise it will be disabled and greyed out.

  • Clicking the option will open the current pop-up to add new shifts and to save the details away. The save action will copy the selected job details to a new job and will attach the newly created shifts to it. An auto refresh will list the new job in Scheduling 2.0 if it matches the criteria currently being viewed.

Removal Of Unfilled Shifts from a Partially Filled Job

  • The current Remove Unfilled Shifts option can be found under the 3-dot menu against jobs. This option has been enhanced to allow the removal of unfilled shifts against partially filled and unfilled jobs.

  • If all shifts on the job are fully filled, on clicking the option, the following message be displayed:

  • For jobs with any combination of filled, partially filled and filled shifts, the current Remove Unfilled Shifts modal will list all shifts in the pop-up from the job start date to the end date.

  • A new column to the far right will detail the status of each shift.

  • Shifts that are filled or partially filled cannot be removed from the job. They will be displayed in grey and disabled for selection.

  • Unfilled shifts can be selected individually by selecting the checkbox against the line, or by using the top select all checkbox to select all unfilled shifts.

  • Clicking Cancel will not carry out any actions against shifts.

  • Clicking Confirm will remove all shifts that have been selected for removal after selecting Yes.

Rename restriction Job Create to include copying of Jobs

  • Restriction Job Create has been renamed to Job Create/Edit/Copy, to clarify the extent of functionality of the restriction.

  • The process around this restriction is unchanged.
