What’s new?
We continue to use ongoing feedback from our large customer base on the useability and functionality of Scheduling 2.0, and in line with Access’s strategic roadmap, to add enhancements to this latest release.
Enabling Scheduling 2.0
The ‘Scheduling 2.0’ feature toggle can be enabled by a user with ‘administration’ access to Options ; System Settings ; Feature Toggles.
Enhanced Features
Previous Workers for a Job
Once jobs have been searched and are listed in Scheduling 2.0, a new option of ‘Show Previous Workers’ is available under the 3-dot menu of all jobs.
This option allows the search of workers who have worked in this job for an ‘x’ period without the need to add new shifts to the job.
Selecting the new option will show a new pop-up, which allows the selection of a period for which to search for previous workers against.
On clicking ‘Confirm’, workers who match the selected criteria will be listed in the applicant pane in the bottom of the screen, ready to be placed as required.
A pill of ‘Previous Workers : <job title> - <job ref>’ will be displayed in the applicant’s search bar to indicate this search has been completed.
Allow Change of Dates for a Shift
By clicking on a shift and displaying the Shift pop-up, both the start and end dates can now be adjusted to more than 24hours in the future or the past, without the need to navigate to the Job Schedule to do this.
Where the shift is not duplicated, there will be a ‘pencil’ icon next to the ‘shift time’ details. Clicking the ‘pencil’ icon will show the date and time details in an expanded mode lower in the pop-up.
📌 Note: where a shift is duplicated, the ‘pencil’ icon will not be displayed next to the ‘shift time’ details. In this instance, you must navigate to the Job Schedule to adjust individual shifts.
The following validation rules are now in place:
The Start and End Date and Time can be modified
The End Date and Time must be after the Start Date and Time
The End Date and Time must be within 24hrs of the Start Date and Time
Adjusting the dates and times will not be reflected on any timesheets already created. These must be dealt with manually to reflect the shift changes.
On clicking ‘Confirm’ the following message is shown and must be acknowledged to allow the requested updates to be processed.
Zoom Bar
The ability to easily affect the depth and details of the job shifts and applicant diaries has been provided by way of a new zoom bar.
By either sliding the green circle horizontally across the bar left and right, or by clicking the right and left green circled arrows, the depth of the shifts and applicant diaries will be shown as either:
5 min slots
15 min slots
30 min slots
Hourly slots
Full day slots
Prevent Duplicate Shifts
When adding new shifts or updating existing shifts, duplicate shifts are now prevented from being created across Access Recruitment CRM, based on their:
Shift or Shift Type
Start & End Dates
Start & End Times
Base or Shift Rate
This prevention allows for more powerful functionality to be introduced to ARCRM for the manipulation of shifts e.g. individual shift requirements, change of date and time etc
Existing duplicate shifts will remain as duplicates and Access Recruitment CRM will apply appropriate rules to prevent certain actions from being taken against the shifts.
From various areas within Access Recruitment CRM, while creating new shifts or updating shifts, so that they would become duplicates to existing shifts, the following message will be displayed:
“Some of these Shifts already exist. The number of Applicants required will be increased on these existing Shifts. Do you want to continue?”Clicking the ‘Yes’ button, the number of required applicants requested on the shifts being created or updated will instead be updated to the existing shifts identified as being duplicates. If duplicates are not found, the shifts will be created as normal.
