Can booking documents be sent automatically?

This article provides information about how to set up and manage the documents that are sent automatically when an applicant is placed (Placement documents).

⚠️Important: Only users who do not have the restriction Access Placement Documentation Auto Send Settings can set this information up. Please speak with your company Systems Administrator to enable this for you.

Contract Placement Document Automation

  • You can now choose to automate the sending of documentation when assigning workers to a job/shift.

  • On the job record, we have added a new tab “Placement Documents”

  • Simply select one, many or all the options of which documents you want to automatically be sent (i.e., applicant, client, contact)

  • Each time you place a worker into the job, the system will send the documents as soon as the placement is made.

  • If for any reason the sending fails, you will get a message in your message queue with links to the placement to allow you to send the documents manually.

📌 Note: Please ensure the templates you use in the Placement Activity Set Up screen, have no special ask merge fields, or merge fields where user intervention is required. These will require you to send out manually.

📌 Note: the templates used for the email bodies when auto-emailing placement documentation are as follows and can be modified to suit:
