Reassign data from one user to another

You are able to move records from one Consultant to another in bulk using the User Re-assign function available within Access Recruitment CRM.

⚠️ Important: This functionality is only available to users who DO NOT have the restriction View User Reassign on their user role.

The following record types can be re-assigned:

  • Clients

  • Contacts

  • Applicants

  • Jobs

  • Placements

To access User Re-assign:

  1. Click on Options and then click on System Settings

  2. Click on User Re-assign

To reassign data to another user:

  • Select the user that you wish to unassign from the records, scroll to the bottom of the page and click on next

  • Select the record type/types that you wish to allocate to a new user

  • Select the Sector/Sectors that the data is held in – you can move all applicants from Sector A, but leave the Applicants that are held in Sector B with the original user

  • Choose what to do with the conflicts – When you are merging User A’s Assignments to User B. If User A and User B are both assigned to an Object then you can decide whether you want User B’s assignment (e.g. Primary) to remain, or for it to be overwritten by User A’s previous role. Overwriting will delete User B’s role, whereas leaving it will delete User A’s role

  • When you are happy with your selections, click next

  • Select the user you wish to assign the data to and click next

  • You will receive a notification that confirms ‘You are about to make permanent changs to your database. Please note that these changes are not reversible’ and a form that confirms what you are about to change, please review with care and select merge when you are happy to proceed.

⚠️ Important: the statement that the changes are not reversible relates to the fact that you cannot undo your change. If the user you are assigning data to is new, and has no data previously allocated, then you can move the data back by using User re-assign to reverse the transaction. If both users have a large number of records, this becomes a manual task so please proceed carefully when completing user re-assign and be sure to check before you confirm you are happy to merge.
