What’s new?
We have introduced the ability to set weekly SMS limits for users, configurable at a global level via Options ; System Settings ; System Owner ; Global Settings, with options to define the weekly cap, the day the count resets, and individual user-level overrides via Options ; Accounts ; Users ; User SMS Limits. A validation rule prevents daily and weekly limits from being saved simultaneously, and when a user attempts to send a message that would exceed their limit, a warning is displayed across all SMS-sending areas of the system, with the Broadcast Shifts wizard excluded. We have also introduced a new feature toggle under Options ; System Settings ; Feature Toggles that allows recruitment consultants to assign any active User Group to a record regardless of their own group membership. Previously, consultants could only select groups they personally belonged to, making it difficult to distribute record ownership without adding them to every relevant group first. The toggle is disabled by default and when enabled expands the User Group dropdown across all sharing and assignment forms to display every active group in the system.
How do I start using it?
Weekly Limits for SMS Messages - User limit configuration & Error messages
We have introduced the ability to set weekly SMS limits for users, giving administrators greater control over messaging usage across the business.
When we navigate to Options ; System Settings ; System Owner ; Global Settings, we will find two new fields:
a new User Weekly SMS field, sitting below the existing User Daily SMS field, which accepts any integer between 0 and 99999 or can be left empty if no limit is required.
a new SMS Limit Week Start Day dropdown, allowing administrators to define which day the weekly SMS count resets, with options running from Monday through to Sunday and a default of Monday.
Also, a validation rule now prevents both a daily and weekly SMS limit from being saved simultaneously. If both the User Daily SMS and User Weekly SMS fields contain values when saving, the operation is blocked and the following error is displayed: Before you can save this record... You cannot set both User Daily SMS and User Weekly SMS. Please choose one or leave both empty.’
When we navigate to Options ; Accounts ; Users ; User SMS Limits, two new fields are now available against individual users:
Weekly SMS Allowance - an editable field allowing a value between 0 and 99999 to be set at the user level, which will override any global weekly or daily limit in place. An infotip on this field reads: Sets the maximum number of SMS messages the user can send per week. If set, this will override any global weekly or daily SMS limit setting. Note: You can only set either a Daily or Weekly SMS Limit, not both.
SMS Sent this Week - a read-only field displaying the total number of SMS messages the user has sent in the current week, refreshed on page load.
We have also introduced limit breach warnings across all areas of the system where SMS messages can be sent. When a user attempts to send a message that would exceed their weekly limit, one of the following warnings is displayed:
if sending multiple messages would push the user over their limit: Sending [X] SMS messages will exceed your weekly SMS limit of [Y]. Please reduce the number of SMS messages you are trying to send and try again.
if a single message would exceed the limit: Sending 1 SMS message will exceed your weekly SMS limit of [Y].
if the limit has already been exceeded at the point of sending: You have exceeded your weekly SMS limit.
These warnings apply wherever SMS can be sent across the system, including:
Search.
Applicants.
Clients, Contacts.
Persons.
Contract and Permanent JobS.
Placements.
Temp Management.
Mailshots.
The Broadcast Shifts wizard is excluded from these restrictions.
Allowing users to assign any User Group to a record via feature toggle
We have introduced a new feature toggle that gives recruitment consultants the ability to assign any active User Group to a record, regardless of whether they are a member of that group.
Previously, when sharing a record with a User Group, consultants could only see and select groups they personally belonged to. This made it difficult to correctly distribute record ownership across teams without requiring consultants to be added to every relevant group first.
The new toggle can be found by navigating to Options ; System Settings ; Feature Toggles, where it appears under the label Allow users to assign any User Group. The toggle is disabled by default, meaning existing behaviour is fully preserved for all users until an administrator chooses to enable it.
When the toggle is enabled, the User Group dropdown across all sharing and assignment forms will display every active User Group in the system, rather than limiting the list to groups the current user belongs to.
This change applies across the following areas:
Applicant sharing.
Client sharing.
Contact sharing.
Placement sharing.
Invoice sharing.
Project sharing.
CV Parser applicant sharing.
Task assignments.
Tag file list sharing.
Job sharing.
Diary sharing.
