What's New

The breadth of enhancements focusses on highlighted UX issues, data visibility, slow performance, data sorting and enhancements to Merge Suite to improve on the overall useability of Access Recruitment CRM to ensure it meets the range of customer expectations.

Merge Suite

New Permission

Admin users can allow certain users to use the Merge tool by navigating to Options ; Account ; Role ; Role Permission sublist and selecting:

  • A new permission called, 'Permission to use the Merge Suite'

Permission applied on a User’s role

If the user has the above permission applied and they navigate to Tools:

  • A new option called 'Merge Suite' (after Mailshots option) is visible

  • On expanding this option, a 'Source' option appears

  • On clicking 'Source'

  • Else, a ‘Source Merge' wizard appears

    • This wizard has 4 steps as below:

      • User Agreement

      • Select Source

      • Confirmation

      • Results

  • Step 1 : User Agreement

    • The following text appears on step 1 :
      'The Access Group recommends the following actions prior to using the Merge Suite functionality:

      • Please ensure that you have stored a copy or back-up of the original data set;

      • Please ensure that you trial the Merge Suite functionality on test data prior to using the intended live data;

      • Do not use the Merge Function during your business hours. We recommend that any use of the Merge Function is conducted outside of your business hours.

<Tickbox> I, <UserName> at <Name of Business>, confirm that I use the Source Merge function entirely at my, and my Business’s own risk and confirm that I have read and understood the recommendations above.

The Access Group takes no responsibility for loss of data or issues with the system which are caused as a direct result of the editing of data, using the Merge Suite Functions. The Merge Suite function is provided as is.'

    • There is a red asterisk at the end of the text

    • A Next button is visible which is only enabled if the tickbox is checked

    • On clicking Next button, the user is navigated to the next step

  • Step 2 : Select Source

    • 2 picklists are visible:

  • Picklist 1 : Select Source

    • This is a required field

    • On clicking the search button, a 'Source' single select picklist (Displays Source from Options > Manger > Lookups > Source appears with the following column:

      • Description

        • Displays Source Description

    • The picklist also displays a Search bar that allows the user to search by Source description

    • A 'Select' button is visible which is only enabled if a Source is selected in the picklist

    • When a user selects a Source and clicks Select button:

      • The picklist closes

      • The user is navigated back to the Step 2 of the Source Merge wizard

      • The search button on Picklist 1 is replaced by Delete button

        • Clicking on delete button will remove the selected Source and replace the Delete button with Search button

  • Picklist 2 : Merge Into

    • This is a required field

    • On clicking the search button, the 'Source' picklist appears as mentioned above (see Picklist 1)

    • When a user selects a Source and clicks Select button:

      • The picklist closes

      • The user is navigated back to the Step 2 of the Source Merge wizard

      • The search button on Picklist 2 is replaced by Delete button

        • Clicking on delete button will remove the selected Source and replace the Delete button with Search button

  • On selecting a Source and closing either picklists, if both the Source values are same, display a message appears that reads, 'You cannot select the same Source Value to Merge.' with an Ok button that when clicked closes the message box.

  • A note appears that reads, 'Cannot select System Coded Source'

  • The 'Next' button is visible which is only enabled if :

    • Both the Picklist 1 and 2 have a valid Source value

  • On clicking 'Next' button the user is navigated to Step 3.

  • Step 3 : Confirmation

    • The text appears : 'Merge '<Source selected in Picklist 1 in step 2>' into '<Source selected in Picklist 2 in step 2>' Source and delete <Source selected in Picklist 1 in step 2>?'

    • A 'Previous' and 'Start Merge' buttons are visible

    • Clicking on 'Previous' navigates the user to step 2 : Select Source

    • Clicking on 'Start Merge' starts the Merge and the user is still on this step which now displays a loading page

  • On an applicant record that contained the original 'Source' is now replaced with the newly selected 'Source' value

  • Loading Page:

    • The text appears below that reads, '‘<Selected Merge Type> is in progress. Do not refresh or close this wizard.'

When the merge is complete, the user is navigated to Step 4

The Original Source value no longer exists under Options > Manager > Look ups > Source

  • Step 4 : Results

    • Displays the text :
      'Source Merge is complete. The <Selected Merge Type> '<Selected Original Source>' is now removed.'

    • If the Merging fails, the text reads:

      • Source Merge failed. Please try again.'

    • There is a 'Close' button that on clicked, closes the wizard.

Nationality

If the user has 'Permission to use the Merge Suite' on their role and when they navigate to Tools > Merge Suite
Then

  • A new option called 'Nationality' (before 'Source') will be visible

  • On clicking 'Nationality'

    • If there is Merge already in progress for any Type the Wizard will not open and displays a message reading, 'Merge already in progress. Please try again later.' with an Ok button that when clicked closes the message box.

    • If not a 'Nationality Merge' wizard appears

  • Step 1 : User Agreement

    • The following text appears on step 1 :

      • On clicking the search button, a 'Nationality' single select picklist appears with the following column:

        • Nationality

          • Displays Nationality from Options > Manager > Look ups > Nationality

      • The picklist also displays a Search bar that allows the user to search by Nationality

      • A 'Select' button is visible which is only enabled if a Nationality is selected in the picklist

      • When a user selects a Nationality and clicks Select button:

        • The picklist closes

        • The user is navigated back to the Step 2 of the Nationality Merge wizard

        • The search button on Picklist 1 is replaced by Delete button

          • Clicking on delete button will remove the selected Nationality and replace the Delete button with Search button

    • Picklist 2 : Merge Into

      • This is a required field

      • On clicking the search button, the 'Nationality' picklist appears as mentioned above (see Picklist 1)

      • When a user selects a Nationality and clicks Select button:

        • The picklist closes

        • The user is navigated back to the Step 2 of the Nationality Merge wizard

        • The search button on Picklist 2 is replaced by Delete button

          • Clicking on delete button will remove the selected Nationality and replace the Delete button with Search button

    • On selecting a Nationality and closing either picklists, if both the Nationality are same, display a message appears that reads, 'You cannot select the same Nationality to Merge.' with an Ok button that when clicked closes the message box.

    • The 'Next' button is visible which is only enabled if :

      • Both the Picklist 1 and 2 have a valid Nationality value

    • On clicking 'Next' button the user is navigated to Step 3

  • Step 3 : Confirmation

    • The text appears : 'Merge '<Nationality selected in Picklist 1 in step 2>' into '<Nationality selected in Picklist 2 in step 2>' Nationality and delete <Nationality selected in Picklist 1 in step 2>?'

    • A 'Previous' and 'Start Merge' buttons are visible

    • Clicking on 'Previous' navigates the user to step 2 : Select Nationality

    • Clicking on 'Start Merge' starts the Merge and the user is still on this step which now displays a spinner

    • On an applicant record that contained the original 'Nationality' is now replaced with the newly selected 'Nationality' value

  • Loading Page:

    • The text appears below that reads, ‘Nationality merge is in progress. Do not refresh or close this wizard.'

  • When the merge is complete, the user is navigated to Step 4

    • The Original Nationality value no longer exists under Options > Manager > Look ups > Nationality

  • Step 4 : Results

    • Displays the text :
      'Nationality Merge is complete. The Nationality '<Selected Original Nationality>' is now removed.'

    • If the Merging fails, the text reads:

      • Nationality Merge failed. Please try again.'

    • There is a 'Close' button that on clicked, closes the wizard.
