Contact Business Development

This article explains how to use the Contact Business Development screen to find which of your Contacts need to be contacted.

Contact Business Development

The business development screen is used to show your contacts who need to be contacted. The screen uses the notebook along with a specified canvass period to work out which contacts haven't been contacted for the specified time.

To open the screen, go to Canvassing ; Contact Business Development.

📌 Note: you do need to have assigned contacts to yourself to be able to see your contacts appearing in this screen.

Contact ownership is added to the Consultants tab on a contact. And you mark yourself as a Primary or Secondary consultant.
Also, you do need to set a canvass period so setting at what point Access Recruitment CRM will decide they need canvassing, e.g. every 2 months, or every 3 months. You can set a canvass period individually on each contact (in the Details tab on their record) and/or set a default canvass period for all your contacts (in the Search screen itself).


Search

In the Contact Business Development screen, click on Search:

In here you specify which notebook type(s) mean that the contact has been contacted so for example, are you looking for when the contacts were last called or emailed? So, select to either include or exclude the notebook types, and then on the right-hand side of the screen select the items to include or exclude. For example, you may choose Tel and Canvass call as the notebook types and the search will only look for those types in the contacts’ notebooks.

The lower section is setting the canvass period for your search. If you have set canvass periods on all your contacts individually then keep the Use default period check box blank.

If you haven’t assigned canvass periods individually on any or all your contacts, then tick this check box and on the right select a default canvass period to use with your search.

Run the search by clicking on Save (at the bottom right of the screen).


Result

After running the search, your contacts that have met the canvass period and notebook search will be listed on the left of the screen. And you can see for a selected contact some of their details via the tabs across the screen.

Communications Tab - Here the selected contact's contact details are displayed.

Attributes Tab - This displays a list of attributes assigned to the selected contact.

Notes Tab - This displays any notes that are on the contact.

Notebook Tab - This displays a list of all entries in the contact’s notebook


Contacting a Client

If you have called the contact, you have the New Quick Note option above the tabs to log your call.

In the Quick Note screen, select a Notebook type that is one of the types you searched on (e.g. Tel or BD Call or Canvass Call) and add a subject and your call notes.
Do note you can also set a task if a follow up action is needed.
Click Save to add the note to the contact’s notebook.

If you are wanting to send an email to a contact, click on their email address shown in the Communications tab. This will open an email screen, where you can then add a subject and message and send the email.

After contacting a contact, in the Business Development screen, click Remove (at the top of the screen). The contact will be removed from the list. And if you have updated their notebook selecting a notebook type that you searched on (e.g. Tel or Canvass Call), they will not reappear here (when you next run a search) until their canvass period has been met. So, if you are in regular contact with a contact, they may never appear in your search result.

Contacts may be shared between consultants so if there are multiple consultants on a contact, then the contact will appear in all the consultant owners’ business development screens when they run a search. And the contact will keep appearing in your own canvassing search result until you update their notebook (using the appropriate canvassing notebook type). If a colleague updates their notebook (who is also assigned to them), that contact will still appear in your screen when you search.
