Whatโ€™s new?

The latest Access Recruitment CRM release introduces records filtering functionality by favourite status for faster action on key candidates. Invoice management has been enhanced with automatic NET and Gross total calculations, eliminating manual work. The Job Wizard now offers improved Contract Rate selection with enhanced search and management capabilities. Additionally, the SMS functionality in the Mailshot wizard has been updated to provide a consistent experience across the platform.

How do I start using it?

Add ability to filter Applicant records by 'Favourite' value

We've added the ability to filter your Applicant records based on whether they're marked as favourites, making it easier to focus on and take action on your priority candidates.

How to use:

  1. Mark applicants as favourites using the star button on their summary card

  2. Navigate to Applicants and click the Filter button

  3. Select Is Favourite from the Categories list

  4. Choose Yes to see favourited applicants or No to see non-favourited applicants

  5. Click Apply Filter to view your filtered results

When the filter is active, a pill displays below the search bar showing ALL: Favourite or ALL: Not Favourite. The Export function also respects this filter.

Add Net & Gross Invoice Totals in Invoice Table View

We've added automatic NET and Gross total calculations to the Invoice form, saving you time by eliminating the need for manual calculations.

How to Use:

  1. Navigate to Placements > Timesheets

  2. Select a timesheet that is Ready for Billing with Timesheet Hours

  3. Click Action > Create Invoices

  4. Switch to table view on the Invoice form

You'll now see a section below the table displaying:

  • Net Total: Sum of all invoice NET amounts across all pages

  • Gross Total: Sum of all invoice Gross amounts across all pages

The totals automatically update when you apply filters or when the list content changes.

Job Wizard doesn't offer a choice of Client Rates when multiple rates meet the criteria

We've enhanced the Contract Rate selection process in the Job Wizard to make it easier to search, select, and manage rates when creating Contract Jobs.

Contract Rates Field (Step 3 - Rates)

When the field is empty:

  • Placeholder text displays: 'Click to view rates available for this position/grade'

  • A magnifying glass icon allows you to search for available rates (hover shows 'Search' tooltip)

Job Wizard add rates

  • Clicking the icon opens a pop-up that displays rates based on your selected Position, Grade, Currency, and Charge Unit

  • If no rates are available, an empty list is displayed

Display of rates available

When a rate is selected:

  • A dustbin icon appears on the right (hover shows 'Delete' tooltip)

  • Clicking the dustbin removes the current Contract Rate and all associated Job Rates in the sublist

Delete selected rates

Rate Selection Process:

  • You can select alternative rates from the pop-up, which will trigger a warning message

  • Click No to stay in the pop-up, or Yes to confirm and apply the selected rate

  • The selected rate and any linked Job Rates are displayed in Step 3 and saved with the new Job

โš ๏ธ Important: If a rate has been applied to shifts (Step 4) and you later clear or modify the rate, it will be removed from those shifts.

Update SMS process on Mailshot wizard

We've updated the SMS functionality in the Mailshot wizard to provide a more consistent experience across the platform, eliminating different screens and behaviors for the same action.

Navigate to Tools ; Mailshots ; Send Mailshots, select SMS as your send option in step 2, and proceed through the wizard as usual. Please keep in mind that you cannot proceed if you are restricted to send mailshots.

Template Selection (Step 4 - SMS)

  • SMS templates now appear as plain text in the text area (rich text templates are automatically converted)

  • Select a Template and Clear Template buttons now match the styling used in other SMS areas and the Email option

  • A Message Length indicator appears below the SMS text input when not using a template

SMS Cost Display (Step 6 - Review & Send)

  • A new Total SMS Cost label shows the total number of messages that will be sent (160 characters including spaces = 1 message)

  • An info tooltip explains: 'For text up to 160 simple characters in length, you will be charged for 1 SMS message. For text containing more complex characters, such as emojis, you may be charged more SMS messages.'
