What’s new?

From the ability to export Perm and Contract Job data, extracting contacts from a job search into a tag file, to the new SMS Mailshot Campaign folder, the April release is full of useful updates.


Why have we developed these features?

We are continuing to use ongoing feedback from our customer base on the useability and functionality of Access Recruitment CRM, and in line with Access’s strategic roadmap, to add several enhancements to the latest release.


Continual Improvements

Job Wizard - Surface user flagged info-tip icon and text for Custom Fields

In the Job Wizard we are now able to click on an Infotip icon against custom fields to understand their use.

  • Given some job custom fields have had Infotip details populated

  • When we add a new job in the Job Wizard on:

    • step 3 Custom Fields for permanent jobs

    • step 5 Custom Fields for non-permanent jobs

  • Then a standard Infotip icon appears to the right-hand side of those custom fields where the 'Infotip Text' field has been populated and when clicking on the Infotip icon, the relevant 'Infotip Text' for that field is shown:

Ability to Export Contract/ Permanent Jobs

In Access Recruitment CRM we are now able to export Contract / Permanent Jobs data.

  • When we navigate to Jobs ; Contract / Permanent jobs ; Action button there is a new option called 'Export'

  • This option is only enabled in Table view

  • The data displayed in the columns in table view is downloaded on the device in a CSV format

  • The name of the Export file is '<RecordType>-Export-<YYMMDDHHMM>.csv', where:

    • <RecordType> is either 'PermanentJob' or 'ContractJob

    • <YYMMDDHHMM> is replaced with the current date/time

  • Please keep in mind that the users with the 'Export Contract/Permanent Jobs' restriction on their role are not able to access this functionality.


Create new 'SMS' Mailshot Campaign folder and add SMS mailshots under this folder

We are now able to categorize all mailshots as 'mailshots', a functionality which helps in accurate activity reporting.

  • The 'Mailshot Campaign Notebook Folder' is enabled by default for all users. This change happens during an upgrade. If a user turns it off later, it won't be turned back on automatically.

  • When the 'Mailshot Campaign Notebook Folder' feature is enabled, the user will see a new 'SMS' folder under the 'Mailshot Campaign' folder in Options ; Manager ; Documents ; Notebook Folder Maintenance.

  • Mailshots sent using the SMS option in the Mailshot wizard will be recorded in this folder.

  • If the feature isn't enabled, SMS items will go into the default folder for SMS types.

Extract contacts from job search to add into Saved Tag File (enables mail shots to jobs)

We are now able to mailshot contacts for jobs on the system, making it easier to forward relevant CVs and target the open vacancies.

Job Search Results Enhancements

  • List View:

    • The existing 'Client Filed As' field is renamed to 'Client.'

    • A new read-only field called 'Client Contact' appears below the 'Client' field, displaying the Client Contact from the Job record's Details tab.

  • Table View:

    • When configuring columns, the existing 'Contact Filed As' is renamed to 'Client Contact.'

    • The existing 'Client Filed As' is renamed to 'Client.'

  • Tag Options:

    • The existing 'Add to Saved Tag File' is renamed to 'Add Jobs to Saved Tag File.'

    • A new option called 'Add Contacts to Saved Tag File' is available after 'Add Jobs to Saved Tag File.'

    • When clicking this new option, a 'Select Saved Tag File' window appears.

    • On selecting a Saved Tag File and clicking 'Select,' the client contacts of the job records (selected using tickboxes) in the search result are added to the saved tag file.

    • A success message appears, reading 'Added to Saved Tag File.'

    • If a contact is shared across more than one client, only one instance of the contact is added to the saved tag file.

  • Restrictions:

    • If user has the 'Tag Contact restriction' on his role and he runs a Job search, the 'Add Contacts to Saved Tag File' option will be greyed out in the Action menu.

CI - HireAra User Agent Header

We have introduced a new feature to ensure seamless connectivity when using HireAra through Access Recruitment CRM.

  • Access Recruitment CRM is now integrated with HireAra to provide additional details in the URL, ensuring no connectivity issues.

  • User Header Addition:

    • When users are directed to HireAra, a 'user header' is added to the call.

    • Example: httpClient.DefaultRequestHeaders.Add("User-Agent", "ARCRM")

Add Feature Toggle to display Client File As value in Organisational Chart

We have introduced a new feature to enhance the organisational chart by displaying the client's 'Filed As' name instead of the 'Client Name' field.

  • Feature Toggle:

    • A new feature toggle called 'Organisational Chart - Client File As' is now available under Options ; System Settings ; Feature Toggles.

    • This toggle is visible but not enabled by default.

    • An infotip is available that reads: "If the Feature Toggle is enabled, the Client Organisational Chart will display the Client File As, Location & Status. If the Feature Toggle is disabled, the Client Organisational Chart will display the Client Name, Location & Status."

  • Organisational Chart View:

    • When the 'Organisational Chart - Client File As' feature toggle is enabled, users can navigate to Client ; View ; Organisational Chart to see the following:

      • Client File As - Location - Status: The organisational chart will display the 'Client File As' name, followed by Location and Status.

      • The '-' separator will only appear if either Location or Status is added on a Client record. For example:

        • If no Location is entered, it will display: Client File As - Status

        • If no Status is entered, it will display: Client File As - Location

        • If neither Status nor Location is entered, it will display: Client File As

Access Digital Chat update colour

We have introduced a new feature to draw attention to the in-product help - Access Digital Assistant, encouraging customers to use this helpful bot.

  • When users navigate to Options ; System Settings ; Feature Toggles ; 'Use Intercom' in Access Recruitment CRM, after logging out and logging back in, users will see the chat button icon on the top right of the screen.

  • The chat button icon is in teal color (#009999), similar to the button background color of 'Quick Add'.

Add 'Job Documents' option under Attachments tab in Batch Email on Applicant Actions screen

We have now made it easier for users to attach job documents when emailing applicants.

  • When users have Applicant Actions created, they can select one or more actions with the same job and click Action ; Send Email. They will see a new 'Job Documents' option before 'Templates'. Clicking 'Job Documents' opens a multi-select picklist of all job documents marked for applicants.

  • Users can select the documents they want and click 'Select' to add them as email attachments.

  • Picklist Details: The picklist includes columns for Job Document ID, Description, Template Name, Status, Completed, Must Merge, and Send To. Users can select multiple documents using checkboxes.

  • Consistent Multi-Select: Users can also attach multiple job documents from Contract/Perm Job ; Review list tab ; View All ; Action ; Send Email ; Step 2 ; Attachments tab ; Document Attachments section ; Add ; Job Documents.


CI - Applicant Latest CV logic

We’ve made it easier to identify the latest CV imported from HireAra.

  • Latest CV from HireAra:

    • When users process an applicant's CV in HireAra and import it back into Access Recruitment CRM, the CV will be shown as the latest CV.

    • The latest CV is determined by the most recent 'update date'.

  • Visibility of Imported CV:

    • Initially, the imported CV from HireAra is only visible under the CVs tab.

    • Users need to manually refresh the form to update the 'Latest CV' tab.


Access Pay & Bill - Allow 'VAT No' in Client API into Access Recruitment CRM

We’ve simplified managing the 'VAT No' field in Access Recruitment CRM for API users.

  • Data Interaction:

    • Insert Data: Users can now see the inserted VAT numbers to Access Recruitment CRM, with a limit of 20 characters.

    • Update Data: Users can now see the updated VAT numbers in Access Recruitment CRM, also limited to 20 characters.

  • Field Details:

    • Entity: ClientEntity

    • Field: VATNo


Ability to Export Contract / Perm Placements

We are now able to export Contract/ Permanent Placements data.

  • When we navigate to Placements ; Contract / Perm Placements ; Action button there is a new option called 'Export'

  • This option is only enabled in Table view

  • Please keep in mind that the users with the 'Export Contract / Perm Placements' restriction on their role are not able to access this functionality.


The default shift rates allocated on the placements are not being used in the timesheets

We’ve introduced a new feature to ensure the correct rate from the placement is automatically applied to timesheets, reducing manual intervention.

  • Feature Toggle:

    • A new DBUpdate feature toggle called 'Use default Placement Shift Rates for Timesheet creation' has been created.

    • This toggle is controlled by Access and is disabled by default.

    • It is hidden from the feature list.

  • Job Shift Creation:

    • When shifts on jobs need to be created or edited, and shift rates have been added to the job with the shift type set by the user:

      • If the feature toggle is disabled: The current legacy flow for selecting and automatically populating the job shift rate override is used.

  • If the feature toggle is enabled: The rate override will not be automatically set when selecting the shift type, but can still be set manually by the user.

  • Timesheet Creation:

    • Please take into account that placements require timesheets to be created and the correct rate to be set. In this case:

      • If the feature toggle is disabled: The current legacy flow for selecting the charge/pay for creating timesheet is:

        • Placement Diary event (which uses the Override rates)

        • or

        • Placement basic rates

      • If the feature toggle is enabled: The correct rate is populated based on the following sequence:

        • Placement Diary event (which uses the Override rates)

        • or

        • Shift rate with matching shift type (uses the rate flagged as default or another valid shift rate)

        • or

        • Placement (which uses the basic rate)


Accepting an Applicant in 'edit' mode on 'Applicant Review List' behaves incorrectly

The modal stating 'Would you like to continue without a CV for this applicant action? (<ApplicantName> - <JobRef>)' is now shown to the user at the time of saving the form, working now consistently across the Review Lists for both Jobs and Applicants.
