Availability Manager - Release Notes - v4.98

The Availability Manager in the ARCRM allows users, team leaders and senior managers to quickly and easily see candidates placed, the dates and times and where they are working as well as when candidates are available for work.

Continuing to evolve the high-volume temp and contract workforce management offering, the Availability Manager streamline consultant activity allowing them to proactively manage and view availability, addressing key pain point for Recruitment Agencies of all sizes. These tools continue to ensure that Access Recruitment CRM underpins the range of recruitment focus and consultant activity required to support our customers. The Availability Manager create a better Access Recruitment CRM experience and elevate the platform to both protect existing revenue, as well as strengthen opportunities across the recruitment sector.

What's New

The Excel Export from the Availability Manager now includes richer, more readable event information. Each dated column in the exported spreadsheet has been updated so that events are displayed on separate lines and, for availability and unavailability events, the start and end times are shown alongside the diary code. This makes it much easier for consultants to filter and interpret exported availability data in Excel.

How It Works

When you click the 'Excel Export' button in the Availability Manager, the downloaded spreadsheet now behaves as follows:

  • Events are displayed on separate lines – where a dated cell previously contained multiple events on a single line, each event is now listed vertically, making each entry clearly distinct.

  • Start and End Times are shown for availability and unavailability events – for any event coded as Available or Unavailable, the time range is displayed to the right of the diary code:

    • e.g. A - 09:00 - 17:00

    • e.g. U - 08:00 - 12:00

  • All Day events are clearly labelled – if an Available or Unavailable event spans the full day, it will display 'All Day' instead of a time range:

    • e.g. A - All Day

  • Night shifts appear on both relevant days – where a shift crosses midnight, the same event entry will appear on both the start date and the end date:

    • e.g. A - 22:00 - 03:00 will appear on the evening date and the following morning date.

  • Repeating events show one entry per day – for recurring events, only one instance is shown per date column.

User Benefits

  • Faster filtering – clearer time information means Consultants can filter and sort the export more effectively without needing to manually interpret compressed event data.

  • Improved readability – vertically listed events with time ranges are far easier to scan in a spreadsheet than a single concatenated string.

  • Accurate overnight shift visibility – night shifts are correctly represented across both days, reducing the risk of scheduling errors.

  • No change to workflow – the export button and process remain the same; the improvement is purely in the content and formatting of the output file.

"Available Within Period" Applicants Toggle

What's New

A new "Available Within Period" toggle has been added to the Availability Manager, giving consultants the choice between automatically loading all available applicants in the selected date range, or starting with a clean grid and building a targeted search manually.

How It Works

The toggle appears to the right of the Actions button on the Availability Manager screen:

  • It is enabled by default β€” existing behaviour is preserved with no change needed from the user.

  • When enabled, the grid automatically displays applicants with non-busy or Available diary events within the selected period, capped at 500 results. Any active filters and search bar criteria are applied on top additively.

  • When disabled, the grid starts empty β€” results only appear once at least one search or filter criteria has been entered.

  • Hovering over the toggle displays a tooltip explaining both states.

  • The toggle state is saved as a sticky setting, so the user's preference is remembered on their next visit.

User Benefits

  • Consultants who prefer the existing auto-load behaviour are unaffected β€” the toggle defaults to β€˜on’.

  • Those who want to start from scratch with a targeted manual search can now do so where this was not easily possible.

  • The sticky setting removes the need to reconfigure the toggle each session.

Additional Columns in Configure Columns

What's New

The Availability Manager Configure Columns panel now includes three additional column options, giving Recruitment Consultants more flexibility to tailor their active applicant view.

How It Works

When opening the Configure Columns panel, users will now see the following new columns available for selection:

  • County β€” displays the applicant's county, drawn from their most recently created current address record.

  • Attributes β€” displays all attributes associated with the applicant's record, presented as a comma-delimited list. The column can be resized to view the full contents; no tooltip is shown.

  • Applicant Custom Columns β€” any custom columns configured for applicants are now listed as individual selectable options in the Available column. When selected, each displays the corresponding custom column data for each applicant.

None of the three new columns are selected by default. Clicking Restore Defaults will not include them.

User Benefits

  • Consultants can surface richer applicant data directly within the Availability Manager grid without navigating away.

  • County and Attributes support faster visual filtering of the active applicant pool.

  • Custom column support means the Availability Manager now reflects agency-specific applicant data that was previously only visible elsewhere in the CRM.
