Send eMails from the system

Help to set up your eMail sending.

If you're unable to send emails through Access Recruitment CRM, you need to check your settings by following each of the sections below:

  • Email settings in Access Recruitment CRM.

  • Office 365 settings.

  • Authentication.

​⚠️ Important: You may require the assistance of your IT team or email provider.


Email settings in Access Recruitment CRM

  1. Click My Actions, then click Profile.

  2. Click Mail then check that the following settings are correct:

    • SMTP Server.

    • Port.

    • Username.

    • Enter your email password.




Office 365 settings

If your login details work in other areas, such as Outlook, Office365.com or within Access Recruitment CRM Exchange Sync but not for sending emails, this is due to a change Microsoft made to restrict ability to send SMTP emails by default for new accounts.

To check or change this setting, follow the steps below:

⚠️ Important: You'll likely need your IT team or email provider to action these steps.

  1. Click Users, then select Active users.

  2. Select the user, then click Mail.

  3. Click Manage email apps and verify the value of Authenticated SMTP.

    • Selected: Enabled.

    • Clear: Disabled.



Authentication

If you use two-factor authentication and your Office 365 tenant supports App Passwords, the you need to use an App Password instead of the normal Outlook password for sending mail in Access Recruitment CRM.

If you decide to use modern authentication for sending emails, you no longer need the SMTP settings and related information.


Find an error to attach

If you receive an SMTP error, follow the steps below:

  1. Click My Actions, then click Mail queue.

  2. Find an email with a Failed Sent status.

  3. Click Log then copy the entire error message.

  4. Contact us via the Access Digital Assistant, referencing the title of this article, and include the copy of the error.
