Set up Rate Management

To set up special rates, overtime or Rate management, please follow the steps below:

Before using Rate Management the user will need to set it up. To do this follow the steps below:


Set up the Attributes

  1. Click Option then click Manager

  2. Click General and then click Attribute Maintenance

  3. Click the Position Attribute

  4. Click Settings then click New Child.

  5. Type the name of the attribute e.g. Nurse – Inner London.

  6. Select one or multiple sectors.

  7. Depending on who the user wants to be able to assign the attribute to, select the checkboxes for Allow Applicant and Allow Client and/or Allow Contact,

  8. Add Grades e.g. Band 1, Band 2 etc.

  9. Click Save.


Set up the Unique Positions

  1. On the Attribute tab, under the position Master attribute, click the child attribute (i.e. Nurse).

  2. Under Attributes, type the Description e.g. Nurse – A&E and click Add.


Set up Rate Management

  1. Click Options

  2. Click Manager

  3. Click Master Types

  4. Click Rates Management

  5. Click New

  6. Type a Contract Name e.g. NHS Framework 1 and an effective date for that rate

  7. Click Save

  8. Click the plus + icon, and select a Position by expanding the parent case and selecting an attribute e.g. Nurse – A&E and click OK

  9. Select the Grade for the position.

  10. Type a Start and End time for the Standard Rates

  11. Type in all Mandatory Standard Rates.

  12. Under Overtime Rates, click the plus + icon and select the Overtime/Other Rates, Days Applicable to, the Start/End time of the overtime hours and the mandatory rate fields

  13. Click Save


Using Rate Management

  1. Access a Client Record

  2. Click Action then click Set Contract Rates

  3. Select a Contract Rate.

  4. When creating a new Job, on the Details tab, select the position for which the user has set up contract rates for and the grade. Once all mandatory fields are filled in click Save.

  5. On the Contract Rates tab, select a Contract Rate. Once this is selected all rates will be pulled through.

πŸ€“ Tip: In order for the contract rate to appear on the list, the charge unit needs to match the one on the contract rate on the Rate management.
