CoPilot Optimiser (Emails) - Release Notes FY25 Q4

Co-Pilot aligns with Access Recruitment CRM to take routine tasks off recruiters, allowing users to to write high quality adverts, job descriptions, Emails and streamline their workflow, take actions quickly and be more efficient in the use of their time.

Whatโ€™s new?

Renaming existing options

Renaming the Permission

  • The existing Permission in Access Recruitment CRM is renamed from Permission to use SMS Optimiser to Permission to use Copilot OptimAIser


Renaming the System settings area for adding Prompts

  • Under Options ; System Settings, the existing AI Text Optimiser Prompts is renamed to Copilot OptimAIser Prompts


Renaming the SMS Optimiser button

  • If the Copilot OptimAIser feature toggle is enabled and the user has the 'Permission to use the Copilot OptimAIser', they will notice that on the SMS window/ wizard / Mailshot (SMS option), the 'SMS Optimiser' button is renamed to 'Copilot OptimAIser'


Copilot OptimAIser added to Email windows/ Wizards

If the feature toggle Copilot OptimAIser is enabled and the user has the Permission to use Copilot OptimAIser applied on their role, when they open the single Send Email window / Batch Email / Mailshot wizard (Email/ SMS):

  • A new button called Copilot OptimAIser is now available

  • On clicking that a Copilot OptimAIser window appears with the following fields:

    • Options

      • Displays a Prompt dropdown

        • Displays a Custom option in the list (appears last on the list) AND

        • Displays prompts from Options ; System Settings ; AI Text Optimiser Prompts (if any prompts are added)

      • If the Custom option is selected:

        • A Enter your Prompt textbox area appears

        • User can type in a prompt

        • If the user selects other prompt from the Prompt dropdown, the Enter your Prompt textbox area is no longer visible

    • Generate button

      • is enabled if a prompt is selected OR if Custom option is selected and a custom Prompt text is entered

      • On clicking the button, it generates the optimised text in the Output text area

      • If there are any merge fields within '<>' they are preserved and displayed in the generated text

    • Content

      • It has a read only textbox that is prepopulated if the user has entered some text in the Email window / Batch Emails / Mailshot wizard

    • Output

      • Displays a read only text box that allows the user to view generated text when the Generate button is clicked

      • Users can edit this text

    • Swap button

      • On click, it replaces the Content text with Output text

    • Cancel button

      • On click, closes the Text Optimizer window

    • Save button

      • On click, closes the Text Optimizer window and copies the Generates Output text to Email window / Batch Email/ Mailshot wizard text area


Add Email or SMS specific Prompts in System Settings

If the Copilot OptimAIser Feature toggle is enabled and the user has the Permission to use Copilot OptimAIser, when the user navigates to Options ; System Settings ; Copilot OptimAIser Prompts:

  • The following options appear on form (below Instruction):

    • Email

    • SMS

  • Both the options have tick boxes to select them and are unticked by default

  • If Email is selected:

    • Any Prompt that has Email selected will appear in the dropdown in the Copilot OptimAIser window when accessed from Email windows / wizards

  • If SMS is selected:

    • Any Prompt that has SMS selected will appear in the dropdown in the Copilot OptimAIser window when accessed from SMS windows / wizards
