Notebook Improvements - Release Notes FY26 Q2

This release introduces significant enhancements to the Notebook functionality across Access Recruitment CRM, making it faster and easier to find and review notebook items.

These improvements restore search capability to the Notebook interface and introduce an optional content preview feature that allows you to quickly scan notebook entries without opening each item individually.

These enhancements are available across all record types that support Notebook functionality.


Notebook Search Capability

What's New?

The ability to search notebook items has been restored to the Notebook interface, enabling you to quickly find specific entries by subject or type without scrolling through extensive lists.

Where Available

Search functionality is now available in Notebook across:

  • My Actions ; Notebook

How It Works

When you navigate to any Notebook view, you will see a search bar with the placeholder text Search by Subject or Type.

Search Bar Location:

  • From record view (e.g., Applicant ; Notebook): The search bar appears below the static summary card.

  • From My Actions ; Notebook: The search bar appears above the grid.

Search Functionality:

  • Enter text in the search bar to filter notebook items.

  • The system searches across both the Subject and Type fields of notebook items.

  • Results update in real-time as you type.

  • Matching notebook items are displayed in the grid below.

Filter Interaction:

  • If you have already applied column filters and then use the search bar, your column filters are retained.

  • If you change the Notebook category, both the search bar and any applied filters are automatically cleared.

  • Quickly locate specific notebook entries without manual scrolling.

  • Search across large volumes of notebook items efficiently.

  • Combine text search with column filtering for precise results.

  • Faster access to critical information during candidate or client management.


Notebook Content Preview (Optional Feature)

What's New?

A new optional feature allows you to preview the first 200 characters of notebook content directly in the Notebook Items grid, eliminating the need to open each item individually to read its content.

Feature Toggle

This capability is controlled by a new feature toggle called Display Notebook Content in column:

  • Visible in Feature Toggles but disabled by default.

  • Info tip explains: When enabled, the Notebook content will appear in the 'Notebook Content' column within the Notebook tab sublist. Only the first 200 characters will be shown. If the content is a document or contains an image, it will not be displayed and the column will appear blank.

How It Works

When the Display Notebook Content in column feature toggle is enabled:

Column Configuration:

  1. Navigate to any Notebook tab (Applicant, Client, Contact, Jobs, etc.)

  2. In the Notebook Items sublist, click Configure Columns.

  3. A new Notebook Content column is available (selected by default when Restore Defaults is clicked).

Content Display:

  • When the Notebook Content column is added to your view, the first 200 characters of each notebook item's content are displayed.

  • If content exceeds 200 characters, it is truncated.

  • Hover behaviour: When you hover over truncated content, a tooltip displays the full first 200 characters.

  • Document and image handling: If the notebook item contains a document or image, the column appears blank (content preview is not available for these item types)

⚠️ Important: The previous Notebook Content column (which displayed the Content ID) has been removed from table view configuration columns across Applicant, Client, Contact, Contract Jobs, and Permanent Jobs forms. This new content preview column replaces it.

(If you still see the Notebook Content column displaying the id in the sublist, click Configure Columns and click Restore Defaults and Ok button.)

Where Available

The Notebook Content column can be configured on the Notebook tab for:

  • Applicants.

  • Clients.

  • Contacts.

  • Persons.

  • Contract Jobs.

  • Permanent Jobs.

  • Quickly identify relevant items based on content preview.

  • Reduce clicks when reviewing notebook history.

  • Make faster decisions during candidate or client reviews.

  • Particularly valuable for users managing high volumes of notebook entries.


Getting Started

To use Notebook Search

  1. Navigate to any Notebook tab (My Actions ; Notebook or from any record).

  2. Enter text in the Search by Subject or Type search bar.

  3. Review filtered results in the grid.

  4. Clear the search to see all items again.

To enable Notebook Content Preview (System Administrators)

  1. Navigate to Feature Toggles.

  2. Find Display Notebook Content in column.

  3. Enable the toggle.

  4. Users can then add the Notebook Content column to their Notebook tab views.

To add Notebook Content Column to your view

  1. Navigate to any Notebook tab.

  2. Click Configure Columns.

  3. Select Notebook Content from the available columns.

  4. The column will display the first 200 characters of each notebook item's content.


Important Notes

Search Performance

  • The search functionality has been optimised for performance even with large volumes of notebook entries.

  • Search results are returned efficiently to ensure smooth user experience.

Content Preview Limitations

  • Only the first 200 characters of text content are displayed.

  • Document and image-based notebook items will show blank in the content column.

  • To view full content or documents/images, open the notebook item as usual.

Feature Toggle Control

  • Display Notebook Content in column is disabled by default.

  • This feature can be enabled selectively based on your organisation's preferences.

  • Contact your system administrator if you would like this feature enabled.

Column Configuration

  • The new Notebook Content column is selected by default when Restore Defaults is clicked (if the feature toggle is enabled).

  • You can remove it from your view if you prefer not to see content previews.


These Notebook improvements respond to customer feedback around the need to quickly locate and review notebook information without excessive clicking, supporting more efficient workflows for consultants, team leaders and managers across all recruitment activities.
