Overview

This release introduces powerful enhancements to the Review List functionality within Access Recruitment CRM. These improvements streamline how recruitment consultants match applicants to jobs, manage review lists, and access critical applicant information during the shortlisting process. The enhancements provide more granular control over auto-matching workflows and ensure all relevant applicant details are available when reviewing candidates.

⚠️ Important: Access to some options depends on role restrictions, including Review List Applicant Create, Review List Applicant Delete, and Notebook Item Create.


Auto Match Contract Jobs from the Applicant Form

New Auto Match Option

You can now auto-match an applicant specifically to Contract Jobs. This option appears when you click Action on the Applicant form. It is enabled only when the feature toggle Add Applicants to Review List automatically on Matching is active and you do not have the Review List Applicant Create restriction.

Run Auto Match (With Review List Applicant Create Restriction)

  1. Go to the Applicant record, click Action, then select Auto Match Contract Jobs.

  2. Allow the system to run the match automatically, then review the results in the following locations:

    • If Search Results Use Main Form is enabled: view results in the Contract Jobs form in Search Results mode.

    • If the toggle is not enabled: view results in Search ; All Jobs.

Run Auto Match (Without Review List Applicant Create Restriction)

  1. Click Action, then select Auto Match Contract Jobs.

  2. In the modal, choose one of the Review List Options:

    • Add to Review List - keeps all existing jobs and adds newly matched jobs.

    • Overwrite Review List - preserves system-coded statuses (Accept & Add, Accept & Hold, Rejected, Reserved), then replaces other jobs.

    • Review Results - shows matched jobs before making changes.

  3. Click Ok to proceed.

πŸ“Œ Note: If no jobs are currently on the Review List or you have the Review List Applicant Delete restriction, the Overwrite Review List option does not appear.


Auto Match Permanent Jobs from the Applicant Form

New Auto Match Option

A new Auto Match Permanent Jobs option lets you match applicants solely to Permanent Jobs. This option appears after Auto Match Contract Jobs in the Applicant Action menu and follows the same permission rules as Contract Jobs.

Run Auto Match (With Review List Applicant Create Restriction)

  1. Click Action, then select Auto Match Permanent Jobs.

  2. View results in:

    • Permanent Jobs form in Search Results mode if the main form toggle is enabled.

    • Search ; All Jobs if the toggle is not enabled.

Run Auto Match (Without Review List Applicant Create Restriction)

  1. Click Action, then select Auto Match Permanent Jobs.

  2. Choose a Review List option in the modal (same options as Contract Jobs).

  3. Click Ok to confirm.

Add Applicant to Review List from Permanent Jobs

  1. Open Jobs ; Permanent Jobs.

  2. Click Action, then choose Add to Active Applicant Review List (available only if you do not have the Review List Applicant Create restriction).


Access Notes and Notebook Items from the Review List

New Notes and Notebook Tabs

When you review an applicant from the Review List, you can now access two new tabs: Notes and Notebook, allowing you to view and edit information without navigating away.

Notes Tab

  1. Open the Applicant record, go to Review List, and click the eye icon on a job.

  2. Select Notes to view all applicant notes.

  3. Click Edit to amend notes; updates apply to the main applicant record.

Notebook Tab

  1. Select Notebook to view all notebook items associated with the applicant.

  2. Actions depend on item protection and your notebook permissions.

    • Protected items cannot be edited.

    • Users without Notebook Item Create restriction can unprotect items.

    • Unprotected items allow additional editing and link/document management unless restricted.

  • Use the modal options to maintain a clean and meaningful Review List.

  • Review search results before adding jobs when you want more control.

  • Check your role restrictions to understand why some options may not appear.

  • Use the Notes and Notebook tabs during shortlisting to reduce navigation time.

Q1: Why don’t I see the Auto Match options on the Applicant form?

Answer: The feature toggle Add Applicants to Review List automatically on Matching must be enabled, and you must not have the Review List Applicant Create restriction.

Q2: When does the Overwrite Review List option appear?

Answer: It appears only when jobs already exist on the Review List and you do not have the Review List Applicant Delete restriction.

Q3: Can I edit Protected Notebook Items from the Review List view?

Answer: No. Protected items cannot be edited. Depending on your permissions, you may be able to unprotect them, but content editing is not allowed while protection is active.
