Automatic CV Hits Calculation When Matching Applicants

What's New

The "Hits" column on the Job Review List now automatically recalculates based on your Applicant Match search criteria, providing up-to-date relevance scoring that reflects your current search text and job requirements.

How It Works

The system automatically recalculates CV Hits in two scenarios:


Scenario 1: Automatic Add to Review List (Feature Toggle Enabled)

When the Add Applicants to Review List automatically on matching feature toggle is enabled:

  1. Navigate to Contract Job or Permanent Job ; Search ; Applicant Match.

  2. Enter your search criteria (including text search. The text search might be pre populated if the Job has CV Keywords).

  3. Click Run Search.

  4. What happens automatically:

    • The search completes and applicants are added to the Job's Review List.

    • The Hits column for ALL applicants on the Review List (both existing and newly added) is recalculated based on the search text entered in the search window.

    • Applicants whose CVs match the search text show updated hit counts.

    • If an existing applicant no longer matches the new search text, their Hits column becomes blank.

    • If no text was entered in the search, or an applicant has no CV, the Hits column remains blank.


Scenario 2: Manual Add Using 'Add to Review List' or 'Overwrite Review List'

When the Add Applicants to Review List automatically on matching feature toggle is disabled:

  1. Navigate to Contract Job or Permanent Job ; Search ; Applicant Match.

  2. Enter your search criteria (including text search).

  3. Click Run Search.

  4. The Auto Match Options modal appears.

  5. Select either Add to Review List or Overwrite Review List.

  6. Click Ok.

  7. What happens:

    • The Hits column for ALL existing applicants on the Job's Review List is recalculated based on the search text.

    • Existing applicants that no longer match may show blank Hits columns.

    • The selected action (add or overwrite) is performed.

    • Applicants are added/updated on the Review List with their Hits values calculated.


Scenario 3: Using 'Review Results' Workflow

When you choose to review results before adding to the Review List:

  1. Navigate to Contract Job or Permanent Job ; Search ; Applicant Match.

  2. Enter search criteria with text search.

  3. Click Run Search.

  4. The Auto Match Options modal appears.

  5. Select Review Results.

  6. Click Ok.

  7. What happens:

    • Job ; Add to Review List (from Applicant form > search results mode), or

    • Action ; Add to Review List (from old Applicant Search Results form).

    • The Hits column for all existing applicants on the Job's Review List is recalculated immediately based on the search text.

    • You're navigated to the Applicant form (if Search Results Use Main Form is enabled) or old Applicant Search Results form.

    • When you subsequently add applicants using:

      • The newly added applicants have their Hits column populated based on the search text from the original Applicant Match search.


Key Behaviours

Dynamic Recalculation

  • CV Hits always reflect the most recent Applicant Match search text you used.

  • If you run a new Applicant Match with different search text, all Hits values update accordingly.

  • This ensures the Hits column always shows relevance to your current search criteria.

Blank Hits Column

  • No text entered in the Applicant Match search = blank Hits column.

  • Applicant has no CV = blank Hits column.

  • Applicant's CV no longer matches the new search text = blank Hits column becomes blank.

Works Across Both Feature Toggle States

  • This CV Hits recalculation works whether Search Results Use Main Form is enabled or disabled, ensuring consistent behaviour regardless of your search interface preference.
