New Feature Toggle and additional actions on Job Auto Match

When an Admin user navigates to Options ; System Settings ; Feature Toggles list:

A new feature toggle called, 'Add Applicants to Review List automatically on Matching' is visible
This toggle is enabled by default

Feature Toggle not enabled and Auto Match is performed

If the Feature toggle Add Applicants to Review List automatically on Matching is not enabled, when the user navigates to Jobs ; Contract/ Permanent Jobs ; selects a Job ; clicks Action ; Auto Match, then:

If the user has more than one search set up in Options ; Manager ; General ; Auto Match Options then a picklist is visible allowing them to select one of these searches (existing behaviour).
A modal called, 'Auto Match Options' appears
- In this modal, the following appears:
  - a label called, ‘Auto Match Options'
    A dropdown appears to the right of the label
    If there are Applicants already added on the Job ; Review List tab ; 'Review List Applicants' sublist AND the user does not have the Restriction 'Review List Applicant Delete' applied on their role:
    The dropdown contains the following action options:
    Add to Review List
    Selected by default
    Overwrite Review List
    Review Results
    An info tip appears that displays the following text on click:
    'If 'Overwrite Review List' option is selected, previously reviewed Applicants marked as Accept & Add, Accept & Hold, Rejected or Reserved will not be removed from the Review List.'
    If there are no Applicants that are added on the Job Review List :
    The dropdown contains the following action options:
    Add to Review list
    Selected by default
    Review Results
    If the user has ‘Review List Applicant Create’ applied on their role:
    The user will be navigated to the search results screen without further prompting.
  - The following buttons appear in the modal:
    'Ok' (to the left)
    When clicked:
    The modal closes
  - For any of the below options selected in the dropdown:
    'Add to Review List'
    The user is navigated back to Job ; Review List tab
    The previously added Applicant records on Review List are retained and new records as found on Auto Match results are added
    'Overwrite Review List'
    The user is navigated back to Job ; Review List tab
    If some or all of the existing records contains Review List Status as the System coded Review List status from under Options ; Manager ; Status ; Review List Status
    These records are not removed from the sublist
    Else the records are removed from the sublist
    The sublist displays all the new records from Auto Match results
    'Review Results'
    If ‘Search Results Use Main Form' Feature Toggle is enabled:
    The user is navigated to Applicant form ; 'Search Results' mode
    This form now displays Applicants that are auto matched on the Job
    On Clicking 'Job' button on toolbar, all the options are enabled based on the Job on which Auto Match was run
    On clicking on any of these options act the same way as if a Job was selected using 'Select a Job (All/Own)' options
    The 'Selected Job' on Status bar now displays the Job Ref Number on which Auto Match was run
    If ‘Search Results Use Main Form' Feature Toggle is not enabled:
    The user is navigated to 'Applicant Search Results' form which now displays the Auto Match results
    This form now displays Applicants that are auto matched on the Job
    On Clicking 'Action' button on toolbar, all the job options are enabled based on the Job on which Auto Match was run
    On clicking on any of these options act the same way as if a Job was selected using 'Select Job ; My Jobs / All Jobs ; Select Job' picklist
    The 'Selected Job' on Status bar now displays the Job Ref of the Job on which Auto Match was run
    Cancel
    When clicked, closes the modal and nothing else happens

Applicant Match functionality from Job

If the Feature Toggle Add Applicants to Review List automatically on Matching is enabled (see mentioned above), when the user navigates to a Job ; Contract/ Permanent Job ; select a Job ; click Search ; Applicant Match ; Run Search:

The user is navigated to the Job's 'Review Lists' tab

If the Feature Toggle Add Applicants to Review List automatically on Matching is not enabled, when the user navigates to a Job ; Contract/ Permanent Job ; select a Job ; click Search ; Applicant Match ; Run Search:

The ‘Auto Match Options' modal appears (as above)

Additional actions when Auto Match is conducted on an Applicant

Quick Add to Review List from Job Search Results

New Action Available: When viewing job search results, you'll now find a new 'Add to Active Applicant Review List' option in the Action dropdown menu
This option appears after 'Remove Selected' and is only enabled when:
- You have an active applicant selected
- Your role has the necessary permissions (no 'Review List Applicant Create' restriction)

Enhanced Auto Match Options

When performing Auto Match on an applicant, you'll now experience a more streamlined workflow:

For Users with Full Permissions

When you don't have the 'Review List Applicant Create' restriction, Auto Match now presents you with flexible options through a new 'Auto Match Options' modal:

Review List Management Options:

Add to Review List (default): Adds new matched jobs while keeping existing review list items intact
Overwrite Review List: Replaces the current review list with new matches

Important: Jobs marked as 'Accept & Add', 'Accept & Hold', 'Rejected', or 'Reserved' are preserved
Review Results: Navigate directly to the job search results to manually review matches

For Users with Restricted Permissions

If your role includes the Review List Applicant Create restriction, Auto Match continues to work seamlessly by taking you directly to the job search results page.

How It Works

Using Auto Match with the New Options

Navigate to an applicant record
Click Action ; Auto Match
If you have the appropriate permissions, the 'Auto Match Options' modal appears
Select your preferred action:
- Choose "Add to Review List" to append new matches
- Choose "Overwrite Review List" to refresh your list (preserving reviewed items)
- Choose "Review Results" to manually review before adding
Click OK to proceed or Cancel to abort

Adding Jobs from Search Results

Run a job search from Search ; Jobs
With an active applicant selected, open the Action dropdown
Select Add to Active Applicant Review List
The applicant is automatically added to that job's review list

Review List Created / Updated User and Date time in Config columns

If a Review List entry is created by any of the methods below:

By navigating to a Contract/Perm Jobs ; Review List tab ; click + button on Review List Applicants sublist ; select an Applicant from Select Applicant picklist ; click Select button OR
On Contract/Perm Jobs ; click Action ; Automatch OR
Applicant ; Job ; Add to Review List ; Select a Job ; click Select button OR
My Actions ; Tag File ; Action ; Add to Review List OR
My Actions ; Saved Tag Files ; Action ; Add to Review List OR
a Review list entry is created when an Applicant applies for the Job via Integrations

When a user navigates as below:

Navigates to Contract/ Perm Jobs Review List tab ; click Configure columns on Review List Applicants sublist OR
- click View All (eye icon) button on sublist to open Jobs Review List form ; switch to table view ; click Config Columns
Contract/ Perm Jobs Quick View window ; Review List tab ; click Configure columns on Review List Applicants sublist
Navigates to an Applicant Review List tab ; click Configure columns on Review list Jobs sublist OR
- click View All (eye icon) button on sublist to open Applicant Review List form ; switch to table view ; click Config Columns
Applicant Quick View window ; Review List tab ; click Configure columns on Review list Jobs sublist

Then

4 new columns are visible as below:
- Review List Created User Name
- Review List Created On
- Review List Updated User Name
- Review List Updated On
These columns are not selected by default when Restore Defaults is clicked.
On selecting the columns below and clicking Apply button, the column displays:
- 'Review List Created User'
  - the user name of the consultant who added the Applicant to the review list.
- 'Review List Created On'
  - the date time on which the user added the Applicant to the review list
- 'Review List Updated User'
  - the user name of the consultant who last updated the review list entry.
- 'Review List Updated On'
  - the date time on which the review list entry is updated.

Disable 'Auto Match' from Jobs/ Applicants if Restriction is applied
