Interview Improvements - Release Notes - FY26 Q1

Increasing visibility and filtering of interview management allowing users to increase efficiency and drive all workflow through Access Recruitment CRM. Encompassing refinements to the Interview Index and interview follow up activity.

What's new?

  • Interview Summary card

How do I start using it?

See the below points for details on how to use it:

Interview Summary Cards

If Interviews are added via My Actions ; Applicant Actions ; Interview Details ; by clicking on ✚ button on Interviews sublist, when the user navigates to Jobs ; Interviews:

  • A summary card is visible on top banner

  • The card displays the following information:

    • Applicant Photo (if added)

    • Job Title

      • Displays the Job

    • Client Name

      • The Client name is truncated if longer and displays the full Name when hovered over

    • Interview Contact - Contact Job Title

      • Displays the Contact Name

    • Interview Type

    • Interview Date Time

    • Applicant Phone

      • Displays Applicant Primary Phone

    • Applicant Email

      • Displays Applicant Primary Email

    • Contact Phone

      • Displays Contact Primary Phone

    • Contact Email

      • Displays Contact Primary Email

  • Favourite button

    • On click, adds the Interview to Favourite list


Filtering by Created User and additional data

Filter Window update

When the user clicks Filter button on Interview form:

  • A new option called Users appears under Categories (last option) list:

  • On clicking Users, a list of all the users appears under Available column

  • They can select more than 1 users to add it to Selected column

  • On clicking Apply Filter, the Interview data list is filtered where selected User/s match Interview created User


Add new Columns in table view

When the users switch to table view > Config columns:

  • The following columns are visible in the list:

    • Created User Name

    • Job Ref

    • Job Primary Consultant

  • These columns are not selected by default when Restore Defaults is clicked

  • When added to the view they can see Interview Created User name, Job Ref and Job Primary Consultant details in the column


Hyperlinks to records

On navigating to Jobs ; Interviews ; Details tab

  • the following fields display as hyperlink:

    • Applicant

    • Client

  • On clicking the hyperlink:

    • User can view the right summary panel and view the child window.

  • It displays No Access To Record and the link is not clickable if (existing behaviour):

    • If the Applicant has requested RTBF

    • If the user does not have access to the Client and Applicant record via Sectors


Additional Fields

On navigating to Interviews ; Details tab

  • a new read only field is displayed called:

    • Job

  • This field appears after Interview Contact

  • This field displays the following information as hyperlink:

    • If Job Reference exists, displays: '<Job Title> - Ref : <Job Ref>'

  • This field is not available in New mode.

  • This field is available in Edit mode but read only.

  • On clicking the hyperlink:

    • Users can view the right summary panel and view the child window.

πŸ“Œ Note: hyperlinks are only available on records the user has access to (i.e. if the sector does not match on the record, they would not appear on the interview list - existing behaviour)


Applicant Actions - Ability to Send an Interview Confirmation from the Interview Tab

In the Applicant Actions form if the user moves the Applicant action stage to Interview, the interview details form opens and when they add the interview time / date / details and click Save:

  • The Interviews window closes

  • a standard message box appears asking Do you want to send the Interview Confirmation now? with Yes and No buttons.

  • On clicking Yes:

    • the message box closes

    • the Interview detail is saved and the Interview Confirmation wizard is opened

  • On clicking No, then the interview details save and the message box closes.

Interview Date & Time Confirmations Updates

Updating linked Diary Events

If the following steps are performed to add a linked Interview Diary event type:

  1. An Applicant is added to a Job's Review List and an Applicant Action has been created with status of 'Interview'

  2. Interview details are added

  3. User navigates to:

    1. Applicant Action ; Action ; Interview confirmation OR

    2. Applicant record ; Action ; Batch Interview Confirmation

    3. My Actions ; Interview Confirmations ; selecting the Applicant in Applicant Filter

  4. Follows through the steps in the Interview Confirmation wizard

When the user navigates to either:

  • My Actions ; Diary ; linked Diary Event

  • Applicant ; Scheduling ; linked Diary Event

  • Applicant Quick View window ; Scheduling ; linked Diary Event

AND updates either or all of the following details:

  • Title

  • Start

  • End

Then after clicking Save on the Event window:

  • a green toast is displayed in the bottom right part of the screen reading Changes made successfully

  • The Title/ Start/End times are updated accordingly for the below linked Diary events:

    • Applicant Action Consultant ; My Actions ; Diary ; linked Diary Event

    • Sender Consultant (if they are a different person) ; My Actions ; Diary ; linked Diary Event

    • Applicant ; Scheduling tab ; linked Diary Event


Deleting linked Diary Events

If a linked Interview Diary Event is created when the user navigates to either :

  • My Actions ; Diary ; clicks on linked Diary Event to open Event window

  • Applicant ; Scheduling ; linked Diary Event ; clicks on linked Diary Event to open Event window

  • Applicant Quick View window ; Scheduling ; linked Diary Event ; clicks on linked Diary Event to open Event window

and clicks Delete button on Event window and then clicks Delete button on Delete Event dialog box:

  • The Interview Event is deleted from the following diaries:

    • Applicant Action Consultant ; My Actions ; Diary

    • Sender Consultant (if they are a different person) ; My Actions ; Diary

    • Applicant ; Scheduling tab
