Task List Improvements - Release Notes - FY25 Q2

Increasing visibility and filtering of tasks management allowing users to increase efficiency and drive all workflow through Access Recruitment CRM. Encompassing refinements to the task forms and task follow up activities.

What's new?

The ability to add a task type to a task, filter by task type, additional columns in table view are some of the enhancements in this release.


How do I start using it?

Task Type Lookup List

  • A user with administration access to Options ; Manager ; Look ups ; List of Values will now see a list value of Task Type.

New Lookup List value

  • During this release, four default task types will have been included. Please note, if any are deleted, they will not be replaced in subsequent releases:

    • Business Development

    • Applicant Follow Up

    • Client Follow Up

    • Admin

  • A new task type can be added by clicking the ✚+ button, where the standard pop-up will be displayed.

  • A unique Value Name must be entered, along with the optional Description.

  • Clicking Save will add this new task type to the list if task types.

Add Task Type to My Tasks

  • When adding a new task or maintaining an existing task under My Actions ; Tasks or My Actions ; Notebook ; click Task ; Task (form), it is now possible to attach a task type as an optional field to a task, to distinguish tasks.

  • Clicking into the Type field will offer a dropdown of the list of Task Types available as an optional selection.

Task Type on Placement Extension Window

  • When extending a contract placement from any of the following areas:

    • Placements ; Contract Placements ; Action ; Extend Placement(s) ; Confirm Extension

    • Placements ; Permanent Placements ; Action ; Extend Placement(s) ; Confirm Extension

    • Scheduling 2.0 ; 3 dots on Job ; Extend Placement(s) ; Confirm Extension

    • Placements ; Placement Manager ; Contract/Temp Manager ; 3 dot ; Extend Placement ; Confirm Extension

  • And entering step 3 Set Task(s), a new column of Type has been included. On clicking into the Type field for a row, a dropdown of the list of Task Types available as an optional selection.

Adding a Task via Quick Note

  • When adding a task via a Quick Note from any of the following areas:

    • My Actions ; Notebook ; New Item ; Quick Note

    • Applicant ; New Quick Note

    • Clients ; New Quick Note

    • Contacts ; New Quick Note

    • Contract Jobs ; New Quick Note

    • Permanent Jobs ; New Quick Note

    • Business Development ; Candidate Care ; New Quick Note

    • Business Development ; Client Business Development ; New Quick Note

    • Business Development ; Contact Business Development ; New Quick Note

    • Finance & Payroll ; Invoices ; Notebook dropdown ; New Quick Note

  • And creating a Task, a new column of Type has been included. On clicking into the Type field for a row, a dropdown of the list of Task Types available as an optional selection.

Filter by Task Type

  • While maintaining the My Actions ; Tasks, it is now possible to filter by the new Task Type, provided this has been included to tasks.

  • Clicking on the Filter option, a new category of Type has been added, which when clicked, will list the task types that have been setup.

  • One or more task types can be selected and moved to the Selected column by use of the right-hand arrow.

  • Clicking Apply Filter will filter the task list for the selected filter criteria.


Other Links Tab Details Moved to Details Tab

  • To make the adding and maintaining of links to tasks, the contents of the Other Links tab have been moved to a new collapsible sub-list Links within the Details tab. The Other Links tab has been removed to avoid any confusion.

  • Using standard sub-list functionality, new links can be added via the ✚ button, where the Add option is available. Clicking Add will take the user through the current flow of adding a new task.

  • On selecting the link type entity (applicant, client, etc), the new link is added to the sub-list.

  • To the right of each link is a 3-dot menu, which offers options of

    • Delete

    • Go to <entity> based on the original selected Link Type

  • Additional columns are available via the βš™ cog wheel, these will be shown in the sub-list and retained as a sticky setting.


Tasks in Table View

  • When viewing tasks in table view, additional columns below, have been added to aid efficiency and clarity.

  • Under the βš™ cog wheel option, the additional columns are optional

    • Linked Applicants - (from the sub-list in the Details tab)

    • Linked Clients - (from the sub-list in the Details tab)

    • Linked Client Contacts - (from the sub-list in the Details tab)

    • Linked Jobs' - (from the sub-list in the Details tab)

    • Assigned Users - (from Assignments tab)

    • Assigned User Groups - (from Assignments tab)

    • Task Status - (from Details tab)

    • Priority - (from the Details tab)
