Improved handling of email signatures and resolved the previous issues and introduced new tools in My Profile to help consultants format and preview their signatures before sending.

What’s new?

We have updated the email sending process so that signatures are handled separately from the email body, preserving font colours, font types, inline styles, and hosted images exactly as configured. We have also introduced two new buttons in My Actions ; Profile ; Mail ; Signature - Signature Guidelines, which opens a modal with plain-language advice on formatting signatures correctly, and Send Test Email, which allows consultants to preview exactly how their signature will appear to recipients before sending.


Email Signature Formatting

We have improved how email signatures are handled when sending emails from Access Recruitment CRM. Previously, signatures could lose their intended formatting - including font types, font colours, and layout - because they were being processed through TextControl's RTF-to-HTML conversion.

We have resolved this by injecting the signature HTML directly into the email after the body has been processed, so it is never passed through that conversion pipeline.

Alongside this fix, we have introduced new tools in My Profile to help consultants format their signatures correctly and preview how they will look before sending to clients.

We have updated the email sending process so that signatures are handled separately from the email body. This means:

  • font colours defined in the signature are preserved in the sent email.

  • font types such as Verdana and Arial are retained as configured.

  • inline styles including bold, italic, text size, and line spacing are maintained.

  • externally hosted signature images render correctly with no broken references.

This change is isolated to signature handling only - all email body formatting, merge field resolution, and template rendering continues to work exactly as before.

Users who have not modified their existing signature will see no regression in how it displays.

We have also introduced two new buttons in My actions ; Profile ; Mail ; Signature:

  • Signature Guidelines - clicking this opens a modal with plain-language advice on how to format a signature correctly in Access Recruitment CRM. Guidance covers choosing explicit fonts, using web-safe fonts, avoiding pasting from Word or Outlook, adding images via a web URL, and using the test email feature. The modal can be dismissed with a "Got it" button, and any in-progress edits to the signature are preserved when it is closed.

Signature Guidelines
  • Send Test Email - clicking this opens the standard Send Email window, pre-populated with the user's registered email address and an auto-generated subject line. The email body displays a preview message followed by the user's current signature exactly as it would appear in a real sent email. The test email uses the same rendering pipeline as all other Access Recruitment CRM emails, so what the user sees in their inbox reflects what recipients will receive. If the signature editor contains unsaved changes, the test email uses the current editor content rather than the last saved version.

Both buttons are visible at all times, regardless of whether a signature has already been configured.
