Overview
In this release, we have introduced a series of continual improvements across applicant records, reporting, record navigation, sourcing, and invoicing. We have added a compliance status indicator to the applicant static card, an Applicant Name column to the DocuSign report, a folder icon for opening records in a new tab from both the record preview panel and the Tag File list view, a new system setting that controls which CVs the Sourcing Coach considers when matching candidates, a Mark as Issued option when sending a single invoice by email and a new Timesheet Notes tab card within the Timesheet Manager.
Whatâs new?
We have introduced a compliance traffic light indicator on the applicant static card, displaying a colour-coded circle based on the applicantâs compliance status.
We have added an Applicant Name column to the DocuSign report in Pre-defined Reports, positioned between the Date and Status columns, with support for sorting, filtering, and export.
We have introduced a folder icon within the record preview panel and the Tag File list view, allowing users with the Ability to open multiple records feature toggle enabled to open any record in a new browser tab without losing their current list position.
We have added a new Coach Matching CV Scope setting in Global Settings that lets system administrators choose whether the Sourcing Coach matches against the latest published CV only or all CVs held on a candidate record.
We have also introduced a Mark as Issued checkbox on the Send Email window for single invoices, enabling users to update the invoice status to 3-Issued at the point of sending and at the same time we introduced a new Timesheet Notes tab card within the Timesheet Manager which allows users to add notes to Timesheets.
How do I start using it?
Applicant Static Card Colour
We have introduced a compliance status indicator on the applicant static card, giving consultants an at-a-glance view of each applicantâs compliance position without needing to open the compliance tab.
When compliance has been configured and used for an applicant, a small circle is displayed in the top-right corner of the applicantâs picture or icon within the static card. The colour of the circle reflects the applicantâs overall compliance status:
Red - the applicant is fully non-compliant
Amber - the applicant has some non-compliant items
Green - the applicant is fully compliant
Where compliance has not been used for an applicant, no indicator is shown.
Applicant Name in DocuSign Report
We have added an Applicant Name column to the DocuSign report, available under Pre-defined Reports in Access Recruitment CRM, making it easier to identify which candidate each envelope relates to without leaving the report view.
The Applicant Name column appears between the Date and Status columns and is populated with the applicantâs full name for each envelope row. Where multiple envelopes exist for the same applicant, the name is displayed consistently across all relevant rows. The column is included in exported data and supports both alphabetical sorting and text filtering, allowing users to locate specific applicants quickly.
Folder Icon in Record Preview
We have introduced a folder icon within the record preview panel, allowing users to open a full record in a new browser tab directly from the preview without navigating away from their current list view. This feature is available to users who have the âAbility to open multiple recordsâ feature toggle enabled.
When a record preview is triggered via a hyperlink, the folder icon is displayed within the preview panel immediately before the Quick Note option. Hovering over the icon shows the message âOpen this record in a new tab.â
Clicking the icon opens the full record page in a new browser tab inside Access Recruitment CRM, while the current list view remains unchanged and in the same scroll position.
The folder icon matches the green colour of the Quick Note button and is consistent in appearance with other navigation icons used across Access Recruitment CRM. The behaviour applies across all record types where preview is available.
Folder Icon in Tag File List View
We have extended the ability to open records in a new tab to the Tag File list view, accessible via My Actions ; Tag File. This feature is available to users who have the âAbility to open multiple recordsâ feature toggle enabled.
A folder icon is displayed next to each record in the Tag File list. Hovering over the icon shows the message âOpen this record in a new tab.â
Clicking the icon opens the full record page in a new browser tab inside Access Recruitment CRM, while the current list view remains unchanged and in the same position.
The folder icon is consistent in appearance with other navigation icons used across Access Recruitment CRM and the behaviour applies across all record types where preview is available.
Sourcing Coach - Coach Matching CV Scope
We have introduced a new system setting, Coach Matching CV Scope, giving system administrators control over which CVs the Sourcing Coach considers when matching candidates against contract or permanent job requirements.
The setting is found in Options ; System Settings ; System Owner ; Global Settings, displayed beneath the existing âWarn the users if there is more than 1 published CVâ setting. It offers two options:
Latest published CV only - the default, which preserves existing behaviour.
All CVs on record.
When set to Latest published CV only, coach matching is triggered as before via the Sourcing Coach button on the Review Lists tab of a Contract or Permanent Job, and the matching engine searches only the candidateâs most recently published CV.
When set to All CVs on record, the matching engine automatically considers all CVs held against the candidate record, both published and unpublished, and the match score reflects the strongest signal found across all of them. In this mode, the Change CV button is greyed out and non-interactive, and the Latest Published CV column is hidden, as the engine handles CV selection automatically.
Where a candidate has no CVs on record, the system handles this consistently with existing no-CV behaviour under either setting.
Invoice - Set Status to Issued When Sending a Single Invoice Email
We have introduced a Mark as Issued option on the Send Email window for single invoices, allowing users to update the invoice status to 3-Issued at the point of sending, without requiring a separate manual step.
When the Send Email window is opened for a single invoice, a Mark as Issued checkbox is displayed beneath the existing Create task field. A helper message reads: âTicking this will mark the invoice as 3-Issued. This change cannot be undone here.â
The checkbox is unchecked by default, so the invoice status remains unchanged unless the user actively selects it.
When the checkbox is ticked and the user clicks Send, the invoice status is updated to 3-Issued at the point of sending and the change is reflected immediately on the invoice record.
Where the invoice is already in status 3-Issued, when the Send Email window loads, the checkbox is hidden.
Timesheet Notes
We have introduced a new Timesheet Notes tab card within the Timesheet Manager, accessible from Placements.
The tab works in the same way as the Notes tab on the Applicant record, allowing users to add free-text notes against a timesheet and include a user stamp to identify who added each entry.
The most recent comment always appears at the top of the tab, making it straightforward to follow the latest activity without scrolling through older entries.
