What’s new?
The provision of new permissions in Broadbean allows the enhancement of the ‘Post Plus Dashboard’ behaviour, which allows Access Recruitment CRM users to now view or action job adverts posted by the other users in your organisation.
Why have we developed this feature?
To better utilise the enhancements Broadbean have installed into their product, to allow clients to fully engage with the candidate attraction process, with cross team access to job publications to quickly and efficiently fulfil available roles across the many jobs.
How do I start using it?
Global Level Settings
A client that has Access Recruitment CRM integrated with Broadbean, users with access rights to Tools ; Integrations ; Broadbean (tab) will now see additional global level fields to control view and action permissions to published jobs.
The existing ‘App. Primary Consultant’ field has had its info-tip text extended to include a new sentence as the last line of:
"If Multi-User View/Action is enabled, then the job's primary consultant will always be used regardless of this selection."This paves the way for the use of the new fields of:
‘Multi-User View/Action’
‘Jobs posted by other Users’
Appears below 'Multi-User View/Action, if enabled.
'None' is set as the default value
This field is mandatory and cannot be left blank
The field has a standard pencil icon to the right, which when clicked shows dropdown values of:
'None'
'View'
'Action'
Another value can be selected as needed
There is a tooltip green circle to the right, which when clicked will show the following text:
‘Resp. for Jobs posted by oth. Users’
Appears below 'Jobs Posted by other Users'
'None' is set as the default value
This field is mandatory and cannot be left blank
The field has a standard pencil icon to the right, which when clicked shows dropdown values of:
'None'
'View/Action'
Another value can be selected as needed
There is a tooltip green circle to the right, which when clicked will show the following text:
User Level Settings
The settings at the global level can be overridden at the user level per user.
Two additional columns of ‘Jobs posted by other Users’ and ‘Responses for Jobs posted by other Users’ have been added to the list of Broadbean Users.
They will contain the value set for the user, which overrides the setting at the global level.
By clicking the ‘pencil’ icon against a user line, the pop-up will reveal the same two fields for settings and with info-tips which appear at the global level. The user level can be set in the same manner as the global settings.
The values will be shown in new columns in the list of Broadbean Users.
Call Broadbean with the new Settings
While a user is the ‘Publish’ tab for a contract or a permanent job, they can continue to ‘View Job’ or ‘View Responses’ from the existing dropdown. This functionality has not changed.
Depending on the setting of the new ‘Multi-User View/Action’ fields, Broadbean will now react and allow different functionality when viewing jobs or responses posted by other users. There is no change to viewing jobs or responses posted by you.
Jobs Posted by Other Users
If the global or the user level setting is ‘None’, then there is no visibility of other consultant’s adverts.
If the global or the user level setting is ‘View’, then the posting centre will open if the advert is available, but all maintenance actions are disabled, clicking will show an error message.
If the global or the user level setting is ‘Action’, then the posting centre will open if the advert is available, and all maintenance actions will work.
Reponses to Jobs Posted by Other Users
If the global or the user level setting is ‘None’, then there is no visibility of other consultant’s adverts.
If the global or the user level setting is ‘View/Action’, if the advert is owned by another user, you will be logged into NMR (New Manage Responses) as the original advert owner and will see the responses but restricted from any maintenance capabilities.
