Availability Manager - Release Notes - FY25 Q1

The Availability Manager is a now an established form within Access Recruitment CRM that allows users, team leaders and senior managers to see applicant’s availability for work quickly and easily.

What’s new?

Continuing to evolve the high-volume temp and contract workforce management offering, the Availability Manager has been enhanced to include further powerful features, to make it a feature rich application for users to use on a daily basis.


How do I start using it?

Menu Option

  • Request access to the Availability Manager screens via your Access Account Manager or Customer Success Manager (CSM) or your Administrator user.

  • Once enabled, the option can be found within the menu structure of Temp Management > Availability Manager.

  • Clicking on the ‘Availability Manager’ option from the left will display a full screen to the right.

  • As default, applicants with at least one active availability covering the current date duration (starting on the Monday and ending on the Sunday) will be listed.

  • For an availability to be listed, the follow criteria are checked:

    • the applicant has not requested to be forgotten and

    • the Availability starts in the date range or

    • the Availability ends in the date range or

    • the Availability starts and ends in the date range or

    • the Availability started before the date range and ends after the date range

  • All data relating to each applicant will be displayed within two data grids.


Search by Saved Tag File

  • Searching for a list of applicants has now been made easy by using the listed applicants in an existing saved tag file. This can be seen by the introduction of a new placeholder in the search bar called ‘Saved Tag File’.

  • By typing in the name of one of your saved tag files, any matches will be presented in the same manner as for other search criteria.

  • A presented matched name can be selected, after which a pill of the file name will be shown in the search bar.

  • The list of applicants in the saved tag file will be used to search for applicants who have the availability against their diaries that fall within the start and end date timeframe in force.


Search by the Skill Attribute

  • Searching for a list of applicants can now also be conducted by a skill or attribute that has been setup against an applicant record. This can be seen by the introduction of a new placeholder in the search bar called ‘Skill’.

  • By typing in the name of one a skill or attribute name, any matches will be presented in the same manner as for other search criteria.

View Listed Applicants in Scheduling 2.0

  • A powerful new feature has now been introduced which will allow applicants searched for and selected, can be transferred into Scheduling 2.0, where they can be quickly placed into jobs.

  • A new option of ‘View in Scheduling 2.0’ has been introduced under the ‘Action’ button.

  • By selecting one or more applicants by way of their checkboxes, and clicking the new option under ‘Action’, the list will be transferred into the applicant’s pane of Scheduling 2.0. A pill of ‘Availability Manager’ will be shown in the search bar.

  • The full diary schedule for each applicant will be presented.

  • The list can be used in conjunction with other existing types of search criteria in the search bar.

  • The applicants can then be easily placed into jobs.


Add an Applicant’s Diary Event

  • A user who does not have a restriction of ‘Object Diary Create’ against their role will now see new option of ‘Add Diary Event’ under the 3-dot menu against every listed applicant in the Availability Manager.

  • Clicking this new option will display the existing 'Applicant' pop-up, with the 'Scheduling' tab focused and highlighted (in the same manner as when opened from Scheduling 2.0 ; Applicant 3-dot menu ; Scheduling (option))

  • An event can be added as normal. On ‘save’, the pop-up will shut down, and the Availability Manager data grids will be refreshed and will contain the newly added event(s).

  • The colour of the event will be shown in the Availability Manager data grids as specified during the add process.
